Preparing your books throughout the year doesn’t have to be complicated. Use this straightforward checklist to ensure your general ledger is clean, verified, and ready for your tax preparer.
1. Zero Out the Balance Sheet Accounts
Your Profit & Loss (P&L) statement tells you how much you earned and spent, but tax preparers always examine the Balance Sheet first. If your Balance Sheet contains errors, your P&L is almost certainly inaccurate.
- Reconcile Every Bank & Credit Account: Ensure every cash, checking, savings, and credit card account is reconciled through the final statement of your tax year (December 31st for calendar-year businesses).
- Verify Clearing & Merchant Accounts: If you collect payments through Stripe, PayPal, Square, or Shopify, reconcile the merchant holding balance to ensure processor fees and payouts are properly recorded.
- Review Undeposited Funds / Funds to Clear: Check this account in your accounting software. The balance should ideally sit at $0.00. A positive balance here usually means customer payments were entered twice or never tied to an actual bank deposit.
2. Lock Down Your Contractor Documentation (Form 1099-NEC)
January comes with firm federal deadlines for reporting payments made to independent contractors and unincorporated vendors.
- The Threshold: You must issue Form 1099-NEC to any unincorporated individual or LLC paid $600 or more for services during the tax year (via cash, check, ACH, or bank transfer—credit card and third-party network transactions like PayPal are reported separately by the processor).
- Audit Your W-9 Files: Verify that you have a signed Form W-9 on file for every contractor before the end of the year. This ensures you have their correct legal name, entity classification, and Taxpayer Identification Number (TIN/SSN/EIN).
- Generate a 1099 Vendor Report: Run a report in QuickBooks or Xero to confirm which vendors require 1099s and verify payment totals ahead of the late-January filing deadline.
3. Account for Fixed Assets and Capital Purchases
Not every business purchase belongs directly on the P&L as an everyday operating expense. Large equipment, machinery, technology, and vehicles must be handled with care for depreciation purposes.
- Identify Asset Purchases: Highlight any single equipment or hardware purchase over your capitalization threshold (commonly $2,500 under the IRS de minimis safe harbor election).
- Gather Invoices & Loan Docs: Have the purchase agreements, receipts, and financing paperwork organized in a dedicated folder. Your tax accountant will need these documents to calculate Section 179 expensing or bonus depreciation correctly.
4. Reconcile Payroll Records to the General Ledger
Payroll discrepancies are among the easiest ways to trigger an inquiry or slow down tax filing.
- Pull Year-End Payroll Summaries: From your payroll provider (e.g., Gusto, ADP, or QuickBooks Payroll), download your annual summary reports, including Form 941 (Quarterly Federal Return) and Form 940 (Annual Unemployment Return).
- Cross-Check Officer Compensation: If you operate as an S-Corporation, ensure shareholder-employees have taken a reasonable W-2 salary and that health insurance premiums paid on behalf of greater-than-2% shareholders are accurately reflected on their W-2s.
5. Audit “Ask My Accountant” & Uncategorized Accounts
Leaving transactions parked in generic holding accounts creates immediate friction when tax prep starts.
- Clear Out “Uncategorized Expense”: Review every transaction sitting in uncategorized categories or “Suspense.” Assign them to their appropriate operational accounts (e.g., Software Subscriptions, Office Supplies, Advertising).
- Clear Out “Uncategorized Asset” and “Uncategorized Income”: Uncategorized income can cause you to overpay in taxes, while uncategorized assets distort your balance sheet.
